Setting Up Fastmail, iCloud, Yahoo & Other IMAP Accounts
Kanmail works with any provider that supports IMAP and SMTP, which is essentially every email service. Some providers need an app password rather than your normal password; this is normal and more secure.
General steps
- In Kanmail, add a new account and choose manual / IMAP setup.
- Enter your email address.
- Enter your password or app password (see per-provider notes below).
- Kanmail auto-detects server settings for known providers. For others, enter IMAP and SMTP details from your provider’s documentation (see Advanced settings).
Provider notes
Fastmail
Working. Requires an app password; create one in Fastmail’s settings (see Fastmail’s documentation). Use the app password in Kanmail, not your login password.
iCloud
Working. Requires an app-specific password generated from your Apple ID account page (Apple requires 2FA to be enabled first). Use that in Kanmail.
Yahoo
Working. Requires an app password, see the Yahoo documentation.
Proton Mail
Working via Proton Mail Bridge (included with paid Proton plans), which runs on your machine and provides local IMAP/SMTP access to your encrypted mailbox. Add the account manually in Kanmail using the server settings and password that Bridge displays.
Yandex
Working. Requires an app password; create one in Yandex security settings.
Zoho
Working using your normal username & password.
Other IMAP providers
Kanmail should work with any standards-compliant IMAP/SMTP server. Many providers require an app password if you have 2-factor authentication enabled; check your provider’s documentation.
Advanced settings
For non-standard setups, Kanmail exposes advanced account settings (custom IMAP/SMTP host, port, and security). Don’t change these unless you know what you’re doing — incorrect values will stop the account connecting. Typical defaults:
- IMAP: port 993, SSL/TLS
- SMTP: port 465 (SSL) or 587 (STARTTLS)
One advanced option worth knowing is copy-on-drag (copy emails between columns instead of moving them) — useful for label-style workflows. Leave it off for standard folder-based IMAP accounts.
Folders become columns
IMAP accounts use folders. After connecting, choose which folders appear as columns on your board. See Boards & Columns.
Troubleshooting
- “Authentication failed”: you’re almost certainly using your normal password where an app password is required. Generate one and retry.
- Can’t connect at all: verify IMAP/SMTP host and ports against your provider’s documentation.
